Challenge

After years of iterations and experimenting, EA was unable to find the perfect software solution (or combination of various tools) to manage the Open Enrollment process and create visibility across companies’ HR departments, insurance brokers, and employees. This is a complex process that must be executed during a small window of time, so eliminating the human reliance handling and automating processes was crucial to success. Combining their industry experience and product vision, they had a solution in mind, but needed a software development partner to engineer the application.

The

Solution

EA partnered with MercuryWorks to build a custom portal and powerful collaboration tool. The application created a plane in which all involved parties, from the insurance broker to the employee, could easily digest what’s happening and what’s next during the enrollment window, in real time. HR departments are now able to manage employees across all locations, and employees are given step-by-step directions on how to execute on their enrollment. Insurance Brokers can easily view the data for all companies in their business portfolio, keeping them informed every step of the way.

Results

Upon completion, the Portal provided unprecedented visualization and reporting capabilities to all parties involved in the Open Enrollment process, drastically reducing friction during the open enrollment period. The role-based application allows brokers, agents, HR departments and enrollment specialists, and EA leadership to view aggregate company data at a high-level, understand progress, and identify any potential issues immediately, ensuring a healthy enrollment. The system communicates directly with employees, bringing a high-level of satisfaction due to the ease of onboarding.

CRM Integration

While the Portal is engineered to pull data from Enrollment Alliance’s CRM, it has an evergreen architecture so that the application can lay on top of other CRMs. This will allow flexibility when integrating with other third-party systems. The first iteration of the EA Portal has been integrated with Keap, but the application is overall agnostic to the CRM / data source.

Messaging Platform

Each business client (company) can set its own custom messaging sequence and content, so that employees are alerted via text and/or email when they have an action to take. This helps with scheduling and follow-ups as all the application ensures all employees are moving through the process prior to the enrollment window closing.

No matter the application user role, there is a rich dashboard experience to highlight the overall health of the open enrollment. EA administrators can view all insurance broker and company data, brokers can quickly access all the data for the clients in their business portfolio, and companies can easily see employee progress.
